8) StickyNotes

The StickyNotes is the internal communication module of APEX. It is used to send messages/information from System to users and between users.

Similar to email, the StickyNotes is made up of text messages, inbox/outbox and several basic functions (eg. new, reply/forward, delete, find).

All messages within this module will stay within the APEX Server and cannot reach external parties.

There are only 2 basic mail boxes, Inbox and Outbox. Additional mail boxes are not available at the moment. All incoming messages will be stored in the Inbox and outgoing messages in the Outbox.

To use Sticky Notes:

i)

Click on the StickyNotes Icon on your User ToolBar.

ii)

Click on the StickyNotes shortcut command on the Footer.





i) New In-coming Messages

If there is any new in-coming message(s), a small window will pop-up on your screen. This screen will show the last message sender's photo (refer to MyProfile on how to setup this photo). However, you have to be logged in and have at least one of your Internet browser active (active within APEX).

Within the Inbox, all messages are Sorted by Date. On each line of message summary, there are Sender name, Subject, date, time and trash bin.

New Unread messages are highlighted in Blue whereas read ones are in orange.

Similarly, the various message icons (first column) indicates the status of each message (new/read/replied).

To Read a message, just Click on the Subject Line. Once opened, the message will be marked read. This status is available to the Sender and other recipients (if any). Such information will be useful for a broadcasted message in which the recipients who have not read the message can be identified.


To Delete a message, click on the corresponding Trash icon on the right column.

ii) Message Filter

The length of the message summary listing depends on the selected time frame option (Last Week, Last Month etc).

The speed of the listing depends on the filter option selected, ie Show All option will consume a much longer time as the system needs to extract all messages from the database of the current active user.

iii) Basic Functions : New, In-Box, Out-Box, Find

To compose a new message, click on the New icon. Please refer to detailed guide within the New Message form.

You may reply or forward a message. At the bottom menu line within a message (in message window), click on the Reply or Reply All link. The Reply option only sends the message to the sender (excludes recipients). On the other hand, the Reply All option includes both sender and all recipients of the original message.

iv) Search (notesFinder)

To retrieve old (existing/ not deleted) messages, use the StickyNotes - Find function. This search engine will scan through the whole message (header and contents) for the matching keywords. All searches will be confined within the messages owned (composed by, directed to) by the current active user.
